Taskize’s Mailbox Analyser tracks and quantifies the scale and resource cost of email comms in post-trade operations

taskize-mailbox-analyserTaskize has launched Mailbox Analyser, a new tool to measure email usage – and its inherent stress on budget, workflows and resource – in the post-trade issue resolution process.

The scale of email communication – which underpins post-trade operations in financial services – is unparalleled.  A custodian bank may need to, at a conservative estimate, manage more than one million emails per year pertaining to external counterparty queries and more than double that on internal enquiries.

At the same time, the challenges of email comms are well documented: from the risk of ‘fat finger’ error to the pain of auditing unstructured data.  There are several emerging fintech alternatives to email – but how does a firm quantify the scale of its ‘email problem’, or even find out if it has one?  Taskize has introduced the Mailbox Analyser for exactly this purpose.

Which type of client enquiries – and which types of clients – are generating how many emails for a firm?  What are the current resolution ratios and timeframes?  Using the email integration and MI Reporting engine within the Taskize collaboration and workflow platform, the Mailbox Analyser seamlessly and securely monitors email traffic of a firms’ domains and/or distribution lists before automatically generating analytics on:

  • Activity and service levels
  • Resolution times and ratios
  • Staff resourcing and performance
  • Team comparisons
  • Query types and trends

Armed with this data, a bank would be able to:

  • Properly allocate resource and headcount – both worldwide and regionally
  • Increase client satisfaction – and thus client retention
  • Create a more robust and compliant communication and workflow process

James Pike, interim CEO of Taskize, comments:

“Email remains the most prevalent method for resolving counterparty queries within financial institutions, but it is far from the most efficient. With operations spread across multiple geographical regions and each query often requiring the collaboration of several counterparties, the volume of emails generated can quickly spiral out of control. Smart resource allocation is crucial, and gaining a clear, data-rich understanding of where issues are arising is a critical first step in enhancing the process.”

Kishan Bharwad, Head of Product at Taskize, adds:

“The Taskize Mailbox Analyser is an important extension of the capabilities of our platform, coming in direct response to burgeoning demand from firms with little to no insight into the workflow efficiency of their email-based problem resolution processes. Once bottlenecks and inefficiencies are identified, it is much easier to prescribe effective solutions.”
